Event Terms
Thank you for choosing Mount Pleasant Hotel to host your event. We respectfully ask you to read and agree to our terms and conditions.
Provisional Bookings
Agreed provisional bookings are reserved for 7 days, after this time we will automatically release the booking.
Confirmation of Events
All weddings and events are confirmed when a £150.00 deposit or £200 with DJ/Disco (£400 wedding or £450 with DJ/Disco) has been received and the quotation has been signed and returned. All deposits are non-refundable or transferable in the event of any cancellations.
Price Fluctuations
Prices shown are based on today’s costs and may be subject to fluctuation.
Final Payment
Final payment, table and seating plans, pre-orders, drink packages and confirmed number of guests will be required 1 month prior to your event day.
Team Building Bookings
Team Building bookings are confirmed when a deposit payment of 25% plus the events deposit (please see deposit amount above) and the signed quotation agreeing to our terms and conditions have been received. Final payment is then required 5 weeks prior to your team building/event date. All deposits are non-refundable or transferable in the event of any cancellations.
VAT
Prices are inclusive of VAT at the current rate unless otherwise stated.
Right to Alter Facilities
Mount Pleasant Hotel reserves the right to change or alter facilities or grounds including new development, future planning, construction, maintenance or repairs.
Payments
Failure to make a payment by the due date(s) will be assumed to represent cancellation by the customer. The total cost will be calculated using the number of people actually attending, or the number notified at time of booking.
Privacy
To the extent ‘The Client’ provides ‘The Venue’ any personal information, including ‘The Client’’s contact information and the contact information of its members and attendees, for any reason, ‘The Client’ hereby represents, warrants and covenants that it has obtained all rights, permissions and authorisations necessary to (i) regardless of the point of collection, provide the information to ‘The Venue’ and (ii) grant ‘The Venue’ the right to use or release the information (a) in response to inquiries by ‘The Client’ or (b) in conjunction with ‘The Venue’s’’s performance under this Agreement.
Confidential Information
‘The Client’ and ‘The Venue’ will each take reasonable steps to keep all confidential information provided by the other party confidential and to identify information as confidential when shared. Confidential information will not include: (1) information that is publicly available; (2) PII, which will be handled by the parties in accordance with the “Privacy” provision above; or (3) information that is left or discarded in event rooms or public space.
Insurance
Each party will maintain insurance sufficient to cover any claims or liabilities which may reasonably arise out of or relate to its obligations under this Agreement and will provide evidence of such insurance upon request.
Force Majeure
Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from any cause that is beyond reasonable control of that party. Such cases include, but are not limited to: power failure, acts of god, epidemic, pandemic, civil unrest, fire flood, droughts, storms, earthquakes, collapse of buildings, explosion or accident acts of terrorism, acts of war, governmental action, any law or any action taken by a government or public authority, including limitation imposing an export or impact restriction, quota or prohibition, or any other event that is beyond the control of the party in question.
If, due to circumstances beyond our control, Mount Pleasant Hotel venue becomes unavailable for the booked event (through no fault of their own) including closure of the business, travel restrictions or a ban on large gatherings by government directive due to coronavirus (Covid-19) or any highly infectious diseases, then every effort will be made by the management to find an alternative date, subject to availability and written agreement with the client. The prices quoted at time of booking will remain the same. Payments will continue to be due at the appointed times and plans will continue to be made to host your event.
Damages
The client accepts responsibility for damage caused to the property, contents or grounds by them or any of their guests attending the event. Any costs incurred by the hotel will be added to your bill and must be paid for damage repairs. The hotel accepts no responsibility for any damages caused to guest vehicles or personal effects.
Noise Disturbance and Complaints
We request for all verbal noise levels to be kept to a minimum (no shouting or swearing). Please ensure all children are kept within the function suite or hotel terrace accompanied by a responsible adult. No kids to be running corridors. Any guests’ complaints from residents staying at the hotel who are not part of your party will incur a charge to the equivalent of the total loss of revenue, should we have to refund any of our customers.
Proposal
The prices outlined in your document represent a proposal only. This proposal and all prices represented within it are valid for 7 days after the document creation date. Once you have agreed to the proposal by e-signing your document, a formal contract will be sent to you.
Cancellations
Mount Pleasant Hotel is holding the aforementioned space for the exclusive use by your group. Should the entire or partial programme cancel, Mount Pleasant Hotel will collect as liquidated damages, fees according to the following schedule:
Cancellations made at least 12-9 months before the event – loss of deposit
Cancellations made up to 9-6 months before the event – loss of all deposits paid
Cancellations made up to 6-3 months before the event will incur 75% of total costs payable to the hotel
Cancellations less than 3 months before the event will incur 90% of total costs payable to the hotel
Mount Pleasant Hotel requests for all cancellations to be made in writing.
